SERVICE FUSION • DEPOSITS, PURCHASING & JOB COSTS

Keep the job, the invoice, and the books telling the same story.

Service Fusion can move work from estimate to payment, but your accounting team still needs a dependable way to review what reaches QuickBooks. Hata Advising helps examine that handoff, reconcile exceptions, and establish reporting habits that support better decisions.

Who this helps

For service-business owners and office teams using Service Fusion with QuickBooks Online or Desktop who face unapplied deposits, invoice mismatches, unreliable margins, or recurring month-end cleanup. Especially useful when billing happens in more than one system or purchasing and field costs have become harder to follow.

Where Hata can help

Invoice numbering and consistency

When invoices originate in both systems, numbering conflicts can connect activity to the wrong record. Review numbering ownership, customer matching, product and service mappings, and the correction process so resolving an exception does not create another duplicate.

Deposits through final collection

A job deposit and a payment on an issued invoice follow different steps. Trace deposits through conversion to invoice payments, review unapplied balances, and match payment batches and fees to the bank. The procedure should fit your QuickBooks edition.

Purchasing that reaches the books

Purchase-order syncing has separate enablement, date, status, and content settings. Compare those choices with how your team orders, receives, and records materials. Check missing or repeated entries and define the handoff to the bill and inventory process.

Costs that support pricing decisions

Review product and service costs, drive and labor time, and internal expenses. Distinguish internal costs from billable charges and check historical jobs rather than assuming a catalog update corrected them. Make the margin report’s cost definitions explicit.

What you receive

A scoped review can produce a prioritized findings list, numbering and mapping recommendations, a deposit and payment reconciliation checklist, purchasing and job-cost handoffs, and a monthly reporting plan.

Systems work can stand on its own or connect with QuickBooks Online accounting support, QuickBooks Desktop accounting support and fractional CFO services. We agree on scope, responsibilities, and deliverables before work begins.

Online and Desktop need their own procedures

QuickBooks Desktop uses a Windows integration tool. Purchase-order and estimate settings need separate review, while job costing and inventory depend on the subscription or enabled add-ons. Refunds and voids also require edition- and processor-specific handling. We check the actual connection before defining the team’s accounting routine.

Common questions

Does automatic syncing complete reconciliation?

No. The team still needs to check invoice links, unapplied payments, processing fees, and bank deposits. A record arriving in QuickBooks is one part of the review.

Why is a job deposit still unapplied in QuickBooks?

It may have synced before an invoice existed. Service Fusion documents converting a deposit to an invoice payment, with different follow-through for Online and Desktop. We can review the affected records and process.

Can Hata make job-margin reports more useful?

We can review cost inputs, expense treatment, and reporting definitions, then establish a consistent review routine. The engagement is scoped around clearer information and decisions.

Review your Service Fusion accounting handoffs

Bring the issues that repeat each month, from unapplied deposits to purchasing differences. We can help identify the records, controls, and reporting that need attention.
