FIELDPULSE • RECORD OWNERSHIP & ACCOUNTING REVIEW

Give two-way syncing a clear accounting process.

FieldPulse and QuickBooks can share important customer and transaction records. Your team needs to know who owns each change, which records should move, and what still needs accounting review. Hata Advising helps define those responsibilities and turn operational data into a more dependable financial picture.

Who this helps

For field-service businesses preparing to connect FieldPulse to QuickBooks, cleaning up an existing connection, or reviewing margins as the team grows. Particularly useful when the systems were used independently, deposits complicate reporting, or cost information behind estimates is incomplete.

Where Hata can help

Control the first sync and later edits

Review customer and item consistency, where transactions originate, and the cutover date. Two-way syncing can carry changes across systems. Existing duplicate estimates or invoices, or another connected field-service platform, should be reviewed with the vendor before more records move.

Match mappings to the reports

Review sales and purchase accounts, item costs, tax defaults, and available business classes. Investigate record dependencies, including customers and line items needed before an invoice can sync. Document how the team identifies an exception and checks the result after correction.

Follow deposits and refunds

Assess the configurable deposit-invoice workflow and its designated item linked to a QuickBooks liability account. Review how deposits and the final invoice reach the books. Refunds and unsupported transactions need separate accounting controls rather than an assumption that payment sync handled them.

Review the cost basis

Check item unit costs, additional expenses, commission treatment, and the team’s use of Cost Basis reporting. Missing item costs weaken the margin calculation. Where purchasing or time sync is enabled, clarify ownership and how those inputs connect to the broader financial reports.

What you receive

A review can include a workflow and record-ownership map, a prioritized cleanup list, account and item mapping, a deposit and exception checklist, and a practical cost-reporting plan. Vendor support coordination is included in the agreed scope when needed.

Systems work can stand on its own or connect with QuickBooks Online accounting support, QuickBooks Desktop accounting support and fractional CFO services. We agree on scope, responsibilities, and deliverables before work begins.

Confirm the supported records and directions

FieldPulse’s QuickBooks Online guide lists Essentials, Plus, and Advanced, with features dependent on the plan. Purchasing and timesheet syncing have separate settings and direction rules. Desktop uses a Windows Web Connector with different requirements. Not every custom field or transaction type syncs, so we verify the account rather than assume universal coverage.

Common questions

Is the QuickBooks integration two-way?

It is two-way for supported core records, including customers, line items, estimates, invoices, and payments. Purchasing and time workflows have separate rules, and not every field or transaction type is supported.

Can we connect after entering invoices in both systems?

Review the overlap first. FieldPulse advises contacting its team before syncing when records have been created independently in both systems. Hata can help prepare the accounting review and cutover questions.

Will invoice margin equal company profit?

No. Margin depends on the entered costs and the report’s definition. We can help distinguish operational margin from the wider financial results used to assess the business.
