HOUSECALL PRO • INVOICE-TO-CASH CONTROLS

Keep completed jobs, customer payments, and the books connected.

A finished job, an invoice in QuickBooks, and a deposit in the bank are three different checkpoints. Hata Advising helps Housecall Pro users make that handoff clear, with practical controls for billing changes, payment reconciliation, and job-cost reporting.

Who this helps

For growing home-services businesses that use Housecall Pro and QuickBooks Online and want less uncertainty around invoices, payouts, or monthly results. Our CPA-led team supports owners and their accounting teams nationwide, typically at $1M–$50M in annual revenue.

Where Hata can help

A deliberate invoice handoff

Review the path from estimate to job to invoice, including the supported trigger for sending data to QuickBooks. An accepted estimate alone is not the same as an accounting invoice or recognized revenue.

Control after billing changes

Set a process for invoice edits, refreshes, cancellations, and refunds. Housecall Pro generally sends information to QuickBooks Online in one direction, so a change in one system may need follow-through in the other.

Payouts that match the bank

Trace gross payments, processing fees, deposits, and bank-feed matches. Identify which payment types use supported automated steps and which cash, check, or Other payments need manual handling.

Service-line and job-cost clarity

Review pricebook income accounts, business-unit and class settings, captured time, loaded labor rates, materials, and other job costs. Give owners an expected-versus-actual view with clear definitions.

What you receive

Depending on the agreed scope, you receive a prioritized cleanup list, mapping recommendations, payment and deposit reconciliations, a billing-change checklist, and documented reporting responsibilities. Ongoing accounting support can keep those controls in use after the initial review.

Systems work can stand on its own or connect with accounting and controller support and fractional CFO services. We agree on scope, responsibilities, and deliverables before work begins.

Automation still needs an exception process

Estimates do not push to QuickBooks Online. Invoice changes may require another push, and canceled or deleted invoices need matching attention in QuickBooks. Deposit treatment, progressive invoicing, class tracking, and other options depend on your subscription and enabled features. We check your account before recommending a workflow.

Hata leads the accounting requirements, testing, and reconciliation alongside your team and software provider. Platform configuration or development work is coordinated with the appropriate implementation partner.

Common questions

Is the QuickBooks Online integration fully two-way?

It generally flows from Housecall Pro to QuickBooks Online. Initial imports and some payment-handling exceptions exist. Your team needs a clear rule for where to enter changes.

Does payment syncing complete bank reconciliation?

No. Supported payment types have automated steps, but matching bank activity and reviewing exceptions still matter. Some payment types require manual deposit and reconciliation work.

Can you review job costing as well as bookkeeping?

Yes. We can review the cost inputs and reports available in your account and connect the operational discussion to the monthly financial statements. Operational job margin is not automatically company net profit.
